A Global Relocation Implementation that Followed the Sun

Each relocation program implementation is unique, and requires a customized communication and workflow plan to ensure success. But when our team was faced with working on a global, multi-regional program implementation, with a short timeline, and stakeholders across regions providing feedback and signoff, that’s when superior planning is really important. On this global project for a fast-moving client, I knew that tight coordination, project management, and seamless communication would be vital. I also knew that our team was up to the task!

Meeting an aggressive timeline wasn’t the only element necessary for this project’s success. The client had contacts in three regions, and it was critical to the client that their human resources, finance, IT, and global relocation experts in all regions had input and buy-in on the project. A collaborative, around-the-clock plan was called for to deliver results and make sure everyone was on the same page at all times.

Following the Sun to Ensure Seamless Communication

We started with a week-long design workshop with the client to allow all stakeholders to contribute to expectations. This ensured a clear definition of service delivery, workflow, and communication requirements that mirrored the client’s tone and feel. I then worked with my global implementation teams in the U.S., UK, and Singapore to develop a comprehensive 24/7 plan that essentially “followed the sun” — including two daily status update “handover” calls to address time zone challenges and reinforce key deliverables — to work effectively with stakeholders across regions. "Meet and greets" with client resources in each region ensured that roles and expectations were clear across the multiple work streams involved.

We were able to provide round-the-clock support to client contacts across the regions, which ensured an understanding of the client’s mobility needs, regional and country nuances, corporate culture, and work styles, around the globe. At any point in time, the client contacts could reach out to a project manager and be assured of a communication continuum with Cartus.

With excellent collaboration, planning, and communication throughout, we never “let the sun set” on this complex global implementation.
